FACTS:Printing Labels

Printing Bottle Labels for FACTS Sessions
Before the start of any sessions, the FACTS Program administrator should send customized, adhesive labels to the person who will be doing the water sampling. Each bottle prescribed to be sent to the laboratory under the FACTS Program will have its own label, which contains:- Bottle Number (and optional barcode)
- Sample ID
- sample point name
- treatment system name
- sample preparation
- analysis list
- session start- and end-dates.
These labels are created not by Datashed, but internally by WPCAMR using a software program called P-touch Editor.
Download the Bottle List (CSV)
P-touch Editor needs to know what to print on the labels. It gets this information from a CSV file created by Datashed that lists all the various bottles for a single plan. Download this file to your computer selecting a plan (under Maintain Programs) by clicking on the Download Bottle Data icon next to a program's list of plans (see screenshot at right).
Your browser will ask what to do with the file: Save it to disk, probably in the folder already created for bottle labels. At WPCAMR, this is
K:\Grant Related\Treatment System Sampling Grant\Project Files\FACTS Bottle Labels\
Generating Labels with P-touch Editor
In that same folder, there is a file called FACTS Bottle Template.lbl. Make a copy of it for this particular plan (as not to make changes to the original template). Open this new copy in the P-touch Editor program.
- This displays a label with fake data. In the next steps, you will replace this with real data from the CSV file.
- In P-touch Editor, go to the File menu, then Database, then Change....
- Browse to the folder where you saved the CSV file (see previous section), then open the file.
- In the Stop Signal Replacement dialog, the default of Comma is correct; click OK.
- In the Merge Fields dialog, the defaults are also correct; click OK again.
That's it! You can preview the individual labels by clicking on the various rows in the data grid at the bottom of the screen.
Print the labels simply by going to the File menu, then Print....
It's a good idea to save the label (.lbl) file, but if you don't, you can always recreate it by repeating the steps above.
